Next Day and Expedited Shipping Requests

We offer next-day shipping requests on specific parts currently in stock. To utilize this service, you must provide either a carrier account number or valid credit card information to cover the additional shipping costs. Shipping is provided via UPS or FedEx. Please note the following regarding expedited orders:

  • Cutoff Times: Cutoff times for Next Day Air vary by part and location. Typically, orders must be received by 1PM EST.
  • Free Shipping Exclusions: Free shipping offers do not apply to expedited or next-day options.
  • Carrier Accounts: If you wish to use your own carrier shipping account, please specify the desired shipping speed in the order notes.
  • Freight Limitations: Items requiring motor freight generally cannot be expedited. While “hotshot” services exist, the costs are significantly higher, and we generally recommend standard motor freight.
  • No Guarantees: Next-day and expedited shipping are not guaranteed. Factors outside our control—such as warehouse location (time zones), manufacturer delays, and carrier delays—may impact delivery. We strongly recommend maintaining a stock of spare parts to avoid urgent downtime situations.

Shipping and Handling Charges

Shipping and handling charges are calculated based on the total order. Please be aware of the following:

  • Freight Costs: Items requiring freight shipping incur significantly higher costs than standard parcel services. Oversized or heavy items may require additional fees.
  • Liftgate Service: If you do not request liftgate service at the time of ordering, the carrier may charge you for this service upon delivery.
  • Residential Freight Delivery: Many carriers will charge a fee for residential delivery. It is best to notify us upon ordering to avoid a surprise charge upon delivery. 
  • Fee Adjustments: In rare cases, shipping charges may be calculated or adjusted after the order is prepared or loaded. We reserve the right to adjust shipping charges if unexpected carrier costs arise, though we will notify you of any increases prior to billing.
  • Handling Fees: We generally do not charge handling fees for US shipments. However, international shipments or areas requiring special paperwork are charged a documentation preparation fee (usually under $10 USD).

International and Canadian Orders

For customers outside the United States, please review the following strict policies:

  • Non-Refundable Administrative Fee: International orders are charged a non-refundable fee to cover the cost of international business processing and paperwork. This fee will not be refunded even if the order is cancelled.
  • Shipping Requirements: You must provide a UPS/FedEx account number or a billable credit card to ship to your location.
  • Import Duties: Air Piping Sales is not responsible for any import fees, duties, or taxes. Once an item leaves the United States, we will not accept returns or issue refunds if the customer fails to pay the required duties to clear customs.

Delivery Times and Methods

  • Standard Carriers: We ship via UPS Ground, FedEx Ground within the continental US.
  • Delivery Estimates: Allow 4–10 business days for delivery of non-backordered items in the continental US. Please allow additional time for Alaska, Hawaii, and international orders.
  • Consolidation: We will attempt to ship entire orders together whenever possible.

Free Shipping Eligibility

We offer free shipping under the following conditions (valid only for the contiguous United States; excludes Alaska and Hawaii):

  • Standard Orders: Orders totaling over $575.00 (excluding tax and freight-shipped items).
  • Freight Orders: Orders totaling over $20000.00 that include freight-shipped items.
  • Definition of Freight Items: Any item considered too large for conventional shipping (e.g., aluminum piping, compressors, items on a pallet).

Freight Shipments and Damage Inspection

IMPORTANT: If you are receiving an item via truck (Freight), you are responsible for checking for damage upon arrival.

  • Refusal of Shipment: If you notice significant damage, you must refuse the shipment.
  • Notating Damage: If you accept the shipment, you must note any damage on the carrier’s paperwork before signing.
  • Liability: Once you sign for an item as “received in good condition,” we cannot be held responsible for damage reported later. Freight companies will generally deny claims if damage was not noted at the time of delivery. We cannot cover costs inflicted by third-party carriers.

Return and Exchange Policy

Return policies vary by the item ordered, but the following general rules apply to all returns. Do not return items without receiving a Return Merchandise Authorization (RMA). We will not accept returns without an RMA, we will not ship it back to you nor will we research a package to figure out who may have shipped it. 

Non-Returnable Items

  • Pipe is Not Returnable
  • Electronics, liquids, piping, software, and controllers.
  • Items past the return window of 30 days.
  • Any item not in new condition or missing original packaging/instructions.
  • Excessive quantities. We are the judge of what is considered excessive. Do not order a large percentage of excess fittings that are going to be returned upon job completion. 

Standard Returns

  • Timeline: Returns must be postmarked no later than 30 days from the original shipment date.
  • Fees: Returns are subject to a 25% restocking fee. Original shipping charges are non-refundable.
  • Procedure: The customer pays all return shipping charges. Refunds are credited to the original payment method after deducting restocking fees.
  • Refunds are processed once items are received and verified to be in new condition. 

Incorrect Items

  • Our Error: If we shipped the wrong item, we will replace it and cover the shipping charges.
  • Customer Error: If you ordered the incorrect part, you may exchange it. You will be responsible for return shipping and the shipping cost of the new item. No restocking fee applies if the replacement item is at least 75% of the value of the original item.
  • Return Minimums: Returns with a total cost of less than $15 will be rejected for return. This is to protect you, you will lose money on shipping costs.

Technical Responsibility

You are solely responsible for verifying you are ordering the correct part. While we provide manuals and suggestions based on experience, these do not constitute a guarantee of fitment. We are not responsible for parts ordered that do not fit unless we shipped a part different from what was ordered.

Return Shipping Instructions

  1. Obtain an RMA from our staff.
  2. Enclose a copy of your packing list or email invoice with detailed instructions.
  3. Ship via prepaid UPS or FedEx using the original packaging.
  4. Insure the shipment for the full value of the purchase. We are not responsible for packages lost during return shipping. While this is not required, it may save you some aggravation should you package be damaged or lost.

Payment Methods and Sales Tax

  • Methods: We accept orders via our secure online form using most major credit cards. Large orders or bulk quotes may require payment via wire transfer. Checks are accepted on a case by case basis.
  • Sales Tax: Sales tax is charged on orders where required by law.

Credit Card Cancellation Fees

We do not charge fees for completed credit card transactions. However, effective January 1, 2022, cancelled transactions are subject to a 3% fee. This fee will be deducted from any refund amount. This policy is necessary because payment processors (such as Stripe, Visa, and Mastercard) no longer refund the transaction fees to merchants when a charge is reversed. We can no longer absorb these costs for cancelled orders.

Backorders and Availability

  • Notification: We will attempt to notify you via email or phone if an item is backordered.
  • Extended Delays: If a shipment is scheduled more than 30 days after the order date, we will notify you and provide a cancellation option.
  • Priority: Backorders are filled before new orders as soon as inventory becomes available.

Product Descriptions and Brand Information

  • Accuracy: Product descriptions are based on manufacturer claims. Prices are subject to change without notice. We are not obligated to honor mistakenly posted prices.
  • Trademarks: All manufacturer names, logos, and trademarks are the property of their respective owners and are used solely for descriptive purposes. We are not affiliated with every brand listed.
  • AI & Search engines: We do not choose what information is displayed by AI or search engines (like Google).  We will not honor something you saw outside of our website. 

Reseller Policy

We are happy to assist resellers and procurement companies. However, our standard policies apply to all accounts. A cancellation by your end-customer does not exempt you from our return policies, restocking fees, or cancellation fees.

Secure Online Shopping

All transactions utilize a secure server connection to protect your data. Air Piping Sales does not store credit card data and uses 3rd party processors for financial transactions.

Our Employee Rights

We will not tolerate any abuse towards employees. You are not speaking or writing with a robot, we are real people and deserve to be treated as such. Statements like this should not have to be put in policies but any threats or personal attacks will result in the immediate cease of communication and result in permanently banning the abusive party. We reserve the right to refuse service to anyone at anytime. Just be professional and not like the 2 people that forced the addition of this section.
